In partnership with the New York City Mayor’s Office of Criminal Justice, the Criminal Justice Agency is New York City’s main pretrial services agency, combining operations, demonstration projects, and research under one roof. The core of CJA’s work is interviewing all arrested defendants who come before the New York City courts. CJA conducts approximately 250,000 pre-arraignment interviews to determine the likelihood that individual defendants will return to court and uses this assessment to make recommendations to the court regarding eligibility for Release on Recognizance (ROR). Supported by statistical research, CJA’s assessments are a strong predictor of which individuals are more likely to appear in court for follow-up hearings. These assessments are shared with all parties during the arraignment proceeding.

CJA employs approximately 240 employees city-wide, operating from approximately 12 worksites within the 5 boroughs. CJA occupies worksites in a variety of mix spaced environments including shared office spaces located in city buildings, court houses, detention facilities and private commercial spaces.


The Office Coordinator will provide general support for daily office and administrative services including Facilities and Human Resources at the Central Office and satellite locations. This is a very visible role ideal for someone who is energetic, adaptable to changing situations, solutions driven and organized. The Office Coordinator must have great interpersonal skills and the ability to handle feedback, questions and complaints with tact and professionalism. He/She must be willing to take a hands-on approach to resolving problems in the workplace and have a commitment to improving and creating an inclusive and comfortable office environment for all.


  • Assists in the maintenance of inventory for small office supplies and equipment
  • Reviews and submits requests for supplies to the Facilities Manager for approval
  • Manages the scheduling and communication of staff meetings and events, including room set up and catering.
  • Makes routine visits to the work sites within the 5 boroughs as a liaison for Facilities Management or HR
  • Works with other internal departments to coordinate agency sponsored events and participation in external events with partners and stakeholders
  • Answers phones, greets visitors and appropriately directs calls or responds to inquiries for general information or court date inquiries
  • Responds to, and records reports of environmental hazards; alerting the Facilities Manager of all matters requiring attention
  • Copying and assembly of handbooks, training materials and other documents for HR
  • Coordinating incoming and outgoing deliveries, mail and courier services
  • Places calls for repairs and service of office equipment
  • Assists Administration in keeping the work space professional and clutter free
  • May provide other administrative support, data management, clerical or other duties as needed


An Associate’s Degree and 2 years of experience in an administrative support role. Preference will be given to those with experience in a legal environment, human resources/office management, facilities management, or relevant area.

  • Excellent communication and interpersonal skills (confident, approachable and  articulate) with a professional demeanor
  • Understanding of best practices and rules for work place safety
  • Must be able to work independently to prioritize and organize tasks
  • Ability to use critical thinking, common sense and creativity to solve problems
  • Proficient in MS Word, including the ability to create tables, publications and mail merge documents
  • Familiarity with Excel for data management and Outlook for scheduling
  • Attentive to details with the ability to quickly identify discrepancies and proof read documents for accuracy
  • Strong aptitude for working with numbers ( for purchasing reports, invoice reconciliation or calculation of service fees)

Ideal candidate will be someone with a demonstrated ability to balance multiple priorities and carry-out directives with minimal supervision; previous experiences appropriately handling matters of a sensitive nature with urgency and professionalism; must be able to handle occasional heavy filing, data entry or phone work.
